How to Plan Your Day: A 10-Minute Daily Planning Routine

Most busy days don't go wrong because there's too much to do. They go wrong because everything feels equally urgent, so nothing important gets finished. A 10-minute planning routine fixes that. Here's how to do it on paper.

1. Plan tomorrow tonight (or first thing)

Pick one moment for planning and stick to it. Many people like the evening, when today's loose ends are fresh in their mind. Others prefer five quiet minutes with a coffee before the day starts. Either works, as long as it happens before the day takes over.

2. Empty your head first

Write down everything you need or want to do, without sorting it. Calls, errands, work tasks, the birthday card you keep forgetting. Getting it all on paper is what makes the next step possible.

3. Choose your top 3

Look at the list and ask: if I only got three things done, which three would make tomorrow a good day? Write those in your top 3 box. Everything else is a bonus.

4. Give the big things a time

A task without a time is a wish. Put your top 3 into your schedule first, ideally in the hours when you have the most energy. Then fit meetings, errands and smaller jobs around them.

5. Leave some white space

Things always take longer than planned, and surprises turn up. Leave gaps in your schedule so one late meeting doesn't knock over the rest of the day.

6. Close the day

At the end of the day, tick off what's done and move anything unfinished to a specific day. Don't just rewrite it on tomorrow's list by default; decide when it will really happen.
